Subject:        Electronic operating registers vs hard copy registers in the Operating Theatre environs

  1. Do your Operating Theatres use paper or electronic operating registers ?
  2. What is the reasoning behind your method of data capture ? (e.g: financial, data quality, time, duplication of data etc).

Do your Operating Theatres use paper or electronic operating registers ? Electronic data collection system only.
What is the reasoning behind your method of data capture ?  (e.g: financial, data quality, time, duplication of data etc). To reduce duplication of data entry, improve data quality and evolve a more effective method of reporting.
If electronic data capture what were the hurdles you needed to overcome before removing the paper registers ?  (e.g.: lessons learnt during the key stages of Planning, Implementation etc.). When I started working in theatre (over twenty years ago) both paper and an electronic system were in place – both poorly and inconsistently.  One of the first things I wanted to do was to remove the paper registers.  Focus was on improving the data entry and accuracy with the electronic theatre system.  This involved intensive staff training and a huge amount of patience – think water over stone!!  I also found training super users in each theatre beneficial.  Also train new staff before they are shown bad habits.  Missing data was chased up daily.  Contingency plans were made and disseminated to staff, so in the event of any computer problem, accurate data was still collected and entered as soon as the theatre system was functioning.   (I also found that if data collection forms were completed and no computer fault found the staff were responsible for updating the theatre system rather than me).  Theatre data reports were produced to show the staff the benefits of accurate data collection and this also assisted in the transition.  The Theatre areas are spread over the hospital, and we started in one area and then when this was successful and the registers removed it was extended it to other areas successively.
